How to post the Sales Journal or How to post the Daily Sales Journal?

Reason: The reason behind posting a Daily Sales Journal or DSJ is that it takes all the current invoices and confirms them.
That means after confirming, those invoices further can no longer be edited, and they are final.
Steps to Post the Daily Sales Journal or DSJ:
- First, you have to make sure all the current invoices are printed.
- After you are satisfied with the printed invoices, make sure that the accounting date is setup as the current date and your current open accounting period.
- Once the date is confirmed, you have to go to the Sales Journal and run the Daily Sales Journal.
- Once it is posted, you can check on the shipment, invoice screen if the invoice is printed and confirmed. Or you can check the status of the invoice.
Detailed description of the above steps:
1. First, you have to make sure all the current invoices are printed:
- To print the invoice go to the side Menu:
- Invoicing >> Print.
Below is the screenshot:
- It will open the Invoice Printing screen.
- Select 'Invoices not previously printed' for 'All Branches.'
- Select 'Email Customers' if you want to auto-email the invoices. These invoices will go to those customers who have invoice job setup in the customer setup screen.
- Then either select 'Print or 'Print Preview' to mark the invoices as printed.

Once you see the invoices are correct and you would like to proceed further, then you can go ahead and can confirm the Daily Sales Journal.
2. After you are satisfied with the printed invoices, make sure that the accounting date is setup as the current date and your current open accounting period:
- You can check the accounting date from the bottom of the screen. Make sure it is the current date.
Below is the screenshot: It shows the calendar at the bottom of the screen.
When you click on it, it will show the current date, and if there is no current date or incorrect date, you can add it or change it.

3. Once the date is confirmed, you have to go to the Sales Journal and run the Daily Sales Journal.
- You can go to the Sales Journal from the side Menu:
- Invoicing >> Sales Journal.

- Double-click on Sales Journal to open. It will open a screen with various options, as shown below in the screenshot:

- Hit enter on 'Daily Sales Journal' to run the Daily Sales Journal.
- It will ask for the starting and ending branch range. You have to hit enter and enter to do for all branches.

- It will open another box to print preview or print. Here you can review everything that is going to be finalized, you can print it as a pdf or on paper for a record.

- After you review it, it will ask to reprint, you can hit no, and then it will ask you to confirm the sales journal. You can hit yes to confirm.

Note: 'If confirm yes, invoices on sales journal cannot be modified.' That means if you want to adjust the invoices after confirming, you have to do it by credit invoice.
4. Once it is posted, you can check on the shipment, invoice screen if the invoice is printed and confirmed. Or you can check the status of the invoice:
- You can check on the shipment, invoice screen when the invoice is 'printed and confirmed'. It will show the right tick on those columns.

- Or you can check the status on the invoice, and it will show a confirmed status as ‘011’.
